What are Records?

Records are original information that are produced or received by businesses over a period of time, ranging from invoices, accounts, tax documents, proposals and case files or architectural drawings, plans, medical x rays, computer tapes and disks.

For what length of time do we retain records?

We will sort your records for whatever period you require. However, in Hong Kong, the law frequently determines the period of time for which records have to be kept and within that time they may be called upon for review. If you have doubts as to this, The Document House can advise on the appropriate length of time.

What happens to your files once they have reached their life term?

When records reach their designated life term The Document House will inform you four months prior to the date of expiry. You will then have the choice to either retain them for an extended period or arrange to have them destroyed.

Who will dispose of the records upon reaching their life term?

Unless you otherwise instruct us, The Document House will destroy expired records by shredding each piece of paper. A member of your staff may attend the destruction process.

What type of environment are our Records kept in?

Your records are stored in a clean, dehumidified environment, thus ensuring that all records are kept damp free and so if retrieved can be read, bulk copied or scanned again without any problems.
